It depends, on many things, how secure do you want it and who do you want to not have access to it.

For most users putting a password onto your spreadsheet, and then saving it in a password protected folder giving two layers of security is sufficient. www.newsoftwares.net/folderlock/

If your need is greater you need to encrypt it, but I doubt you have anything that requires such extremes.

External HDD.

Only on when you want it to be plus Zero's measures.

You could lock it away somewhere when not in use.

Best place for the hard disc is probably the North American Air Defense command headquarters inside Cheyenne Mountain. It is a steel city with doors that can withstand an atomic blast right outside them. It is inside a granite mountain hollowed out for that use. It has internal and external military protection and enough supplies to be self sufficient in case of a war.

USB stick that you can physically carry, hide or lock away?

Whatever you decide, if it's that important, you should have a back up.

Another idea - set a strong password for your gmail account and use Google Docs, or at least as a back up.

Use spreadsheet password.

Then zip the file and assign a zip password.

How exactly would I do that? You've suggested something that I'm not up with.

Protecting a spreadsheet with a password?
Zipping a file and password protecting it?
Google is your friend. (if you want free software, try 7-zip)

Be aware that both can easily be cracked.

One further step in protection is to hide the file in picture.

Or go the whole hog and use encryption. Here is how to in XP (but not in Home edition)

It really depends on what level of security you are seeking.

If you simply watt to keep your document away from casual prying eyes and are not worried about hacking by someone with IT skills a simple password protection in Excel (I assume that what you are using) is probably all you need.

If you have a desire for industrial strength security you can use Truecrypt to create a "virtual;" drive to save any confidential documents or files in. You create a Truecrypt container which has very high security, then mount it through their control panel as and when you need it - and it appears as another disk. You can even have one volume inside another for higher security. The Truecrypt container appears on your disk as a regular file which you can back up elsewhere, along with the header file.

And iit's genuinely free.

what is your definition of safety? there are two in use for data.

1/ Backup in case of loss of data
2/ Security, prevent unauthorised access.

The answer varies in the event of 1 or 2, or 1 and 2.

Encrypt it with PGP and then, if necessary for physical security, store it on a biometric (fingerprint) USB stick.

Then keep it in the pocket of your undercrackers...No-one will dream of looking there.
